## Pre-Takeoff Email Template Meeting
Meeting lead by [[josh-ford]]
to discuss acceptable use of [[conest-pre-takeoff-email-template]].
### Topics
#### Purpose
Reiterated intent to replace OneNote,
however stated that OneNote might (even should)
be used to track
Intent is too provide information to the bid team
potentially to be qualified in future bids.
> 1. ConEst deviates from specs
> based on direction from [[pdi-bid-estimating|Bid]].
>
> 2. Awarded contract does not include respect for the direction
>
> 3. [[pdi-operations|Ops]], not aware of direction, believes ConEst takeoff was in error.
Intent is to improve transparency,
an area the OneNote is poor in.
***
Direction from [[aaron-permuy]] to improve turnaround
while maintaining standards
including presentability of information;
raise issues with missing BPM tasks ASAP
rather than being the "task police",
hounding Bid at the very end.

***
"Why is Bid not providing this to us?"
ConEst has more time to review.
Intent is to have conversations before contract
There will be bad estimates, bad proposals,
but ConEst's role is to prevent PDI _from making bad deals_
> [!quote] [[joel-jansen]] (pp.)
> Similar could be said by Ops about ConEst.
> ~~They have more time than us~~
#### Use
Only when we're touching a job for the first time,
not revisions.
Template should be pasted into the email body,
not sent as attachment.
To be revisited in audit meeting [[2026w13|next week]].
cc: Josh Ford, Corwin Fluitt, Jessalyn
Other media were considered,
but email text was determined to be optimal
to prevent lost attachments and broken links.
Consistency in formatting is prioritized
ConEst resources to be allocated by availability, not region.
Response from Bid is necessary within three days.
"See proposal" is unacceptable response.
Escalate issue.
#### Acceptable Manufacturers
> [!example] [[sunset-amphitheater]]
> Cummins generator was spec'd, quoted,
> but not used in estimate because it was not cheapest.
Josh, Corwin, Procurement
to provide a list of "typical PDI manufactures"
for Wire, Generator, Switchgear
rather than include entire list from specs.
> Wire:
> * Encore
> * Okonite
> * Southwire
#### Project Drawing/Detail Callouts
[[conest-pre-takeoff-email-template#Project Drawing/Detail Callouts]]
High-cost impact items
not mentioned in proposal
not shown in Bid Sheet.
* dimming in units
* balcony pedestals
#### Lighting Control
[[conest-pre-takeoff-email-template#Lighting Control]]
Intent is to provoke conversation ahead of takeoff
to prevent rework
not necessary to list all areas
if not applicable to project
(code minimum)
#### Tasks/Quotes Needed for WBS
[[conest-pre-takeoff-email-template#Tasks/Quotes Needed for WBS]]
> BPM has both
> tasks within bid round and
> tasks outside of bid round.
To be revisited in [[2026-03-25_13-17-35#BPM Tasks Meeting|dedicated meeting]]
