Pre-Takeoff Email Template Meeting

Meeting lead by Josh Ford to discuss acceptable use of conest-pre-takeoff-email-template


Reiterated intent to replace OneNote, however stated that OneNote might (even should) be used to track

Template should be pasted into the email body, not sent as attachment. To be revisited in audit meeting 2026-W13.

Intent is too provide information to the bid team potentially to be qualified in future bids.

Josh, Corwin, Procurement to provide a list of "typical PDI manufactures" for Wire, Generator, Switchgear rather than include entire list from specs.

Response from Bid is necessary within three days.

"See proposal" is unacceptable response. Escalate issue.


  1. ConEst deviates from specs based on direction from Bid.
  2. Awarded contract does not include respect for the direction
  3. Ops, not aware of direction, believes ConEst takeoff was in error.

Intent is to improve transparency, an area the OneNote is poor in.


Only when we're touching a job for the first time, not revisions.


Other media were considered, but email text was determined to be optimal to prevent lost attachments and broken links.


Consistency in formatting is prioritized ConEst resources to be allocated by availability, not region.


Direction from Aaron to improve turnaround while maintaining standards including presentability of information; raise issues with missing BPM tasks ASAP rather than being the "task police", hounding Bid at the very end.

There will be bad estimates, bad proposals, but ConEst's role is to prevent PDI from making bad deals
